the right way.

Medical specialist assignment

English to Spanish, Russian, Arabic -- Summit Valley Health Network

Patient consent form translation and ongoing clinical communication program

The Situation

Summit Valley Health Network had a growing non-English-speaking patient population -- primarily Spanish, Russian, and Arabic -- and was using a mix of ad-hoc staff interpreters and online translation tools to handle informed consent forms. Two incidents involving consent documentation had flagged translation accuracy as a risk area in their compliance review.

Our Approach

We audited the existing consent form library (38 documents) and re-translated the complete set across all three language pairs, assigning specialist translators with healthcare background to each pair. A standardized glossary was built for each language pair to ensure consistency across all forms. We set up an ongoing service agreement for new form additions.

The Outcome

All 38 forms retranslated and approved by their legal compliance team within 6 weeks. Ongoing additions now have a 48-hour SLA. No translation-related compliance flags in the 18 months since.

English to German, French -- MedInnovate Devices

EU MDR regulatory submission -- full IFU package translation

The Situation

MedInnovate was preparing a EU MDR submission for an electrosurgical device system and needed German and French translations of a 14,000-word Instructions for Use package, including technical specifications, warnings, contraindications, and cleaning procedures. The package had to meet ISO 17664 and IEC 62366 formatting conventions.

Our Approach

We assigned senior technical translators with medical device regulatory experience in both target languages. A regulatory terminology review was conducted before translation began to ensure EU MDR-compliant language for warnings and contraindication sections. Formatting was matched to the source document specification.

The Outcome

Regulatory submission accepted at first review. No linguistic queries raised by the notified body. The IFU translation was specifically noted as clean in the review documentation.

FAQ

Common questions
before a project starts.

All questions

Medical translation requires the translator to understand the subject they are translating, not just the language. A clinical trial protocol contains statistical methodology, inclusion criteria, endpoint definitions, and regulatory framework language -- none of which can be accurately translated by a general linguist consulting a medical dictionary. We assign translators with verifiable background in the relevant medical discipline.

Yes. All translators working on patient-identified documents are briefed on HIPAA requirements and sign confidentiality agreements specific to healthcare data. For healthcare providers, we sign a Business Associate Agreement (BAA) before any patient-identified documents are shared. The HIPAA BAA is available as an add-on or included in the Enterprise package.

Our packages are priced by word count, with the price locked after we confirm the count from your source document. You know the exact cost before any translator is assigned. For ongoing healthcare clients, we can set up a volume rate arrangement that locks your price across recurring projects.

Yes. Certified translations -- including a signed translator certification statement -- are available for all document types. Apostille preparation assistance is available as an add-on for documents requiring authentication for use in foreign jurisdictions.

Standard delivery: Essential (up to 500 words): 7 business days; Clinical (up to 2,500 words): 5 business days; Enterprise (up to 10,000 words): 3 business days priority. Express 24-hour delivery is available as a paid add-on for projects up to 2,500 words.

We accept Word, PDF, Excel, PowerPoint, HTML, XML, plain text, and most EHR export formats. We deliver in the same format as submitted by default. DTP formatting (preserving original layout for complex medical documents) is available as an add-on.
