Medical translation requires the translator to understand the subject they are translating, not just the language. A clinical trial protocol contains statistical methodology, inclusion criteria, endpoint definitions, and regulatory framework language -- none of which can be accurately translated by a general linguist consulting a medical dictionary. We assign translators with verifiable background in the relevant medical discipline.

Yes. All translators working on patient-identified documents are briefed on HIPAA requirements and sign confidentiality agreements specific to healthcare data. For healthcare providers, we sign a Business Associate Agreement (BAA) before any patient-identified documents are shared. The HIPAA BAA is available as an add-on or included in the Enterprise package.

Our packages are priced by word count, with the price locked after we confirm the count from your source document. You know the exact cost before any translator is assigned. For ongoing healthcare clients, we can set up a volume rate arrangement that locks your price across recurring projects.

Yes. Certified translations -- including a signed translator certification statement -- are available for all document types. Apostille preparation assistance is available as an add-on for documents requiring authentication for use in foreign jurisdictions.

Standard delivery: Essential (up to 500 words): 7 business days; Clinical (up to 2,500 words): 5 business days; Enterprise (up to 10,000 words): 3 business days priority. Express 24-hour delivery is available as a paid add-on for projects up to 2,500 words.

We accept Word, PDF, Excel, PowerPoint, HTML, XML, plain text, and most EHR export formats. We deliver in the same format as submitted by default. DTP formatting (preserving original layout for complex medical documents) is available as an add-on.

Yes. Express 24-hour delivery is available as a paid add-on. For genuine emergencies (patient care situations), contact us directly by phone at (330) 673-9173 and we will assess options, including same-day delivery for short documents.

We handle document-based translation rather than direct EHR integration. For healthcare systems needing ongoing high-volume translation workflows, contact us to discuss a custom arrangement under our Enterprise tier.

We cover 80+ language pairs for medical content. For language pairs not on our standard list, contact us before ordering so we can confirm translator availability and timeline. We will not take on a project where we cannot assign a qualified medical specialist for that language pair.

All translators sign confidentiality agreements. For healthcare providers, we sign a HIPAA Business Associate Agreement (BAA) before any patient-identified documents are shared. Patient information is used only for the translation task and handled under our data security protocol.

Yes. If you have an existing glossary, style guide, or preferred terminology list, share it at submission and the translator will follow it. For clients without an existing glossary, we can build one as part of the Clinical or Enterprise package as an add-on.

Yes. Back-translation (translating the target-language version back into the source language by an independent translator, for comparison) is available as a standalone service. Contact us for a quote on back-translation projects as these are scoped individually.
