These Terms of Service govern your use of translatecare.com and all translation services provided by Translate Care, 299 Dale Dr, Kent, OH 44240, USA. By placing an order, you accept these Terms in full.
Translate Care provides professional medical and healthcare translation services delivered digitally. Services include medical record translation, patient consent and communication materials, pharmaceutical documentation, medical device materials, immigration health documents, and mental health and clinical resources. All services are digital -- no physical goods are produced or shipped.
Orders are placed through our website and processed via Stripe. By completing checkout, you authorize the associated charge. All prices are in USD. We confirm the exact word count and scope in the intake form after payment, before work begins.
After payment, we send a project intake form within one business day. Work does not begin until we receive source materials, confirm scope, and issue a delivery date. If actual scope differs from the package purchased, we notify you of any adjustment before starting. You may cancel for a full refund at this stage.
Essential: 1 revision round. Clinical: 2 revision rounds. Enterprise: unlimited revisions within 90 days of delivery. A revision addresses inaccuracies in the translation against the agreed scope. Changes to the source document after delivery are new work.
All deliverables are delivered digitally via email. Standard timelines: Essential 7 business days; Clinical 5 business days; Enterprise 3 business days plus intake review. Timelines are confirmed after intake based on actual word count.
Upon full payment and delivery, you receive a worldwide license to use the translated work for any lawful purpose. We retain no rights in your source documents.
You agree to: provide source materials you have legal rights to translate; submit the intake form within 14 days of payment; respond to translator clarifications within 3 business days. Delays caused by late client response may extend delivery timelines.
For healthcare providers submitting patient-identified materials, a HIPAA Business Associate Agreement is required before any PHI is shared. Healthcare providers are responsible for ensuring they have authority to share PHI with us for the purpose of translation.
We represent that translations are produced by qualified medical translators. We cannot guarantee acceptance of translations by regulatory bodies, courts, or immigration authorities, as these decisions depend on factors outside our control. Certified translations include a translator accuracy statement.
Our total liability for any claim is limited to the amount paid for the specific project giving rise to the claim. We are not liable for indirect, consequential, or incidental damages.
These Terms are governed by the laws of the State of Ohio, USA. Disputes are subject to the exclusive jurisdiction of the courts of Portage County, Ohio.
We may update these Terms at any time. Continued use after changes constitutes acceptance.
